Job description

Position: Timecards Administrative Assistant

Location: Andover, MA

Pay: Hourly

What you’ll do:

Timecard & Expenses Processing:

·       Work as part of a team in the reviewing & tracking of contractor invoices, expenses reports and timesheets.

·       Proactively communicating with consultants via email and phone regarding pending items.

·       Point of contact for payment inquiries.

·       Provide system support troubleshooting with timecard entries and timecard approvals.

·       Obtain timesheets from online systems, review for accuracy/approval and upload into system.

·       Text weekly payroll reminders using texting program.

·       Send applicable reporting to our business partners as necessary.

·       Track & communicate missing items.

·       Answer questions from contractors regarding payments or timesheets.

·       Send welcome emails to contractors beginning a new assignment.

·       Cross train within operations department to provide additional support as needed.

Experience and skills you’ll need:

  • High School diploma required

  • One-year administrative support, preferred

  • Strong telephone and verbal communication skills

  • Ability to multi-task

  • Meticulous attention to detail

  • Prior customer service

  • Time management Skills

  • Ability to learn quickly and adapt to changes within the organization

  • Strong computer skills, including knowledge of all Microsoft Office applications and the ability to adapt to new computer programs

  • Desire to be a team player and work as part of a group
